Book Review: SharePoint 2010 for Project Management by Dux Raymond Sy (O’Reilly Media)

SharePoint 2010 for Project ManagementI’ ve long been a believer that project teams can get a lot more out of SharePoint team sites if organizations decentralized SharePoint team site development and management to the team level.   SharePoint 2010 for Project Management  by Dux Raymond Sy is just such a book a must read for project managers and team leads who want to centralize their project information.

The book leads readers very methodically through building a Project Management Information System (PMIS) from SharePoint 2010 right out of the box without the need for third party add-ins much less a professional services agreement. The steps that Dux Raymond Sy lays out in the chapters of the book only require your IT/IS group to set you up with the appropriate roles and privileges and then following the steps in the book can take you to PMIS nirvana. He goes into enough detail where even first time and novice SharePoint users can get a PMIS up and running.

Manage Project Team Tasks With Asana

Even smaller projects can benefit from a project management tool where the team lead and members can at least centralize task management. However, Microsoft Project can be overkill in such situations so it is better to look for a more mid-range tool for managing such projects and tasks. This is where cloud based project management applications really excel.  After recently writing about Do.com, I learned about Asana – a cloud based task management application and had to check it out.

With the cloud becoming more the project management platform of choice, the market for cloud-based project management tools is really heating up. Cohuman – now owned by MindJet, of MindJet MindManager fame—is in the same league as Asana  and Do.com  but touts more control over tasks and projects with their locking feature.  Cloud-based project management tools are great for freelancers and project teams because they are easy to learn and implement while owing no allegiance to any particular project management methodology.

ProjectPlanner HD for iPad

When I first thought about enterprise uses for the iPad, project management was at the top of my list. When I first held the device in my hands, I could imagine it replacing many paper based tasks and offering an unprecedented level of mobility for tasks like project management. ProjectPlanner HD for iPad helps fulfill that early of vision of mine for the iPad as a project management tool. While it can be easy to argue that iPad project management apps lack the robustness of mainstream project management applications like Microsoft Project and cloud-based apps like Liquid Planner and Zoho Projects, they do offer the features that the non-PMP ninja PMs should find useful.

5 Things People Are Afraid To Say About Younger Managers

A younger manager in charge of older workers is a hot topic in some corners. There is a lot of feel good fluff written favoring the younger manager. Some of these articles fill their heads with all sorts of things — most of which that aren’t good for an experienced project team and their projects. Don’t get me wrong, I am the first to say that there is a wisdom in youth and a wisdom in age. I just have found way too much of a slant against older workers in some of these articles that doesn’t match with what I see in the real world.

I’ve had the fortune of working for some younger managers and clients on projects that prospered because of the manager. But on the flip side, I had the misfortune of working with some who felt entitled to the position or their graduate degree was some key to the city.

Microsoft Office 365 for Project Managers

The  launch of Microsoft Office 365, Microsoft’s new collaboration tool suite that includes SharePoint Online, Exchange Online, Lync Online, Office 2010 Web Apps, and Microsoft Office 2010 Professional Plus brought a lot of headlines because anything cloud is hot right now. Nevertheless, project management features were absent from the marketing push unless you knew where to look.

The 7 Deadly Sins of Project Team Leadership

Project team leadership is an even more important skill in today’s tight economic times making it even more of a shame when new and even some experienced project leads fumble the ball in the name of their own muddled agendas.

While doing more with less is quite a mantra these days, there are 7 deadly sins of project leadership holding back once successful project teams from continuing to thrive.

Granted some team leads get caught in tremendous political binds but there is power in a great project team especially if their umbrella organization is facing challenges from the economy and other related elements.

These sins are:

Conducting A Technical Documentation Audit: The First Thirty Days Onsite As A Technical Writer

Recently during an interview, the director level person I was speaking with asked what I do when I come in as a new technical writer that is the first one inside of an organization. Some of my technical writer roles in the past have been working directly on technical teams (and have been the first technical writer more than once) so I do have a process I’ve come up with over the years but had yet to write down. The key for a successful document audit is to couch everything in business terms especially if the technical writer position is to either start a new group or be a part of a a technical team

Here is a basic overview of my documentation audit process:

The Gentle Art of Document Control

Managing project documents can be an underappreciated art in some organizations. It’s an area where a technical writer should take charge. I’ve seen document control of all stripes throughout my career ranging from document control that works; document control that didn’t work; document control that is overly complex, and even somewhere there was no formal document control in place to begin with.

While compliance programs like COSO and Sarbanes Oxley require document control over project documents, it also makes good business sense.

Here are some tips for implementing document control within your project team or organization:
